Reducing Training Documentation Clicks by Up to 97% with Custom Docebo Forms
A leading North American fleet management company needed a faster, simpler, and more consistent way to document training in Docebo. A custom application was delivered in the client’s Docebo LMS to support this need. The work included the Toolbox Talks Form delivered in May 2025 and two Driver Onboarding Training Forms that support the client’s revised driver onboarding process.

The client operates with rigorous operational standards and strict security requirements. As a highly process-driven organization, any solution needed to align with detailed governance expectations, documented procedures, and clearly defined business rules.
At the same time, training completion tracking within Docebo relied on a multi-step native workflow that was time-consuming and lacked built-in validation checks. This created risk of inconsistent documentation and made it difficult to ensure that all compliance and onboarding requirements were consistently met across the organization.

Toolbox Talks Form – Delivered May 2025
This form helps training managers quickly log short trainings not completed in the LMS, for example, a 5-minute toolbox talk, without spending significantly more time on data entry than the training itself.
- Creates a completed session and event with 1 or more attendees and up to 10 attachments in as few as 9 clicks for a novice user.
- Adds 1 click per additional attendee.
- Common edits such as location, training topics, date, time zone, and total time require minimal additional clicks.
Driver Onboarding Training Forms – Work began early November 2025
These support the client’s new driver onboarding program by quickly entering and tracking training that is not completed directly in the LMS.
Learning Materials Course Completion Form
- Creates completed sessions and events for 1 to 20 parent courses and 1 or more attendees in 7 clicks for 1 course and up to 26 clicks for 20 courses for a novice user.
- Beyond 20 parent courses, 1 click is added per additional course. One click is also added per additional attendee.
- Common edits such as location, time zone, and additional instructors require minimal additional clicks.
Program Completion Form
- Creates a completed session and event for 1 attendee with up to 30 attachments in as few as 8 clicks for a novice user.
- Common edits such as location, time zone, and additional instructors require minimal additional clicks.
Upon submission, form data flows directly into Docebo’s Course Management area. Training is created with all details loaded, attachments are stored in the file repository, attendees are marked present, and the session or event is marked complete.
The Learning Materials Course Completion Form supports multiple trainees and multiple courses within a single submission, allowing training managers to track course completion as new hires progress. The Program Completion Form confirms that a trainee has completed the full new hire training program with all required documentation attached.
Results
This suite of forms converts a multi-step Docebo workflow into a single validated submission, dramatically reducing click volume while ensuring the client’s business requirements are met every time.
Across the three workflows, click volume is reduced by approximately 84 percent to 97 percent compared to the native Docebo process, depending on course count and attachments.
The result is less manual effort for training managers and a process that remains approachable for novice users while efficient for experienced users.

The native workflow adds a minimum of 49 clicks per additional parent course and relies on the same multi-step process without built-in validation.
Program Completion Form vs. Native Docebo Workflow
- Custom: 8 clicks for a novice user with 1 attendee and up to 30 attachments
- Native: 89 clicks for an expert user with 5 required attachments
- Native range: 57 clicks with 1 attachment to 289 clicks with 30 attachments
- Reduction: Approximately 91 percent to 97 percent fewer clicks, depending on attachments
The native workflow requires multiple independent steps and does not include built-in validation to ensure client-specific business requirements are met.
Depending on the number of attendees, courses, and attachments, the Driver Onboarding Training Forms save users anywhere from 40 to 50 clicks to several hundred clicks per use, while helping ensure consistency and eliminating missed steps.
The team also leveraged foundational work from the Toolbox Talks Form, enabling faster execution, delivery well under budget, and continued collaboration built on an established working relationship and detailed planning.
