Implement a new method of tracking certifications effectively in their current Cornerstone Learning Management System to maximize the investment in their Cornerstone platform.

Confluence Health needed a more efficient way to track employees who required retraining for certifications. Their existing process involved staff manually pulling reports for active and inactive courses to find each user’s most recent completion date—an approach that was time-consuming, ineffective, and prone to errors. Additionally, they sought a dashboard to manage upcoming certification due dates for each user.

In healthcare, ensuring employees maintain up-to-date certifications is critical. Allowing staff to work with expired certifications can lead to severe consequences, including fines and legal action. A system that alerts employees and contracted staff of pending certifications, tracks progress, and confirms completion is vital to the organization’s overall success.

Confluence Health had already implemented the Cornerstone Learning platform as their learning management solution, benefiting from its robust reporting and dashboard features for managing training courses. Now, they wanted to apply that same strategy to certification tracking. Their goal was to be proactive in three key areas: identifying staff with expired certifications and helping them renew promptly, reporting staff who failed to update certifications for corrective action, and notifying staff in advance of upcoming expiration dates to ensure timely renewals.

The challenge was clear: Could they leverage their existing Cornerstone solution to implement a certification tracking system that maximized their investment while meeting all of these critical needs?

eSkillz configured and trained the Confluence Health team on the Cornerstone certification management solution that was already included in their Cornerstone Learning purchase. With eSkillz’s expertise, Confluence Health was able to fully leverage their investment by setting up the Certifications feature to accurately display the most current certification dates across the thousands of transcript records they are required to maintain.

Tracking the status and completion dates of multiple certifications for both employees and contracted staff had been a significant challenge for Confluence Health. Their reporting process was inefficient and prone to errors, leaving them vulnerable to potential compliance issues and the serious consequences of non-compliance.

ANSWER: As a trusted partner, eSkillz worked with Confluence Health to implement an effective certification tracking system. By streamlining the process and ensuring accurate reporting, eSkillz helped them stay compliant and avoid potential risks.

By collaborating with the Confluence Health team, eSkillz consultants provided Confluence Health with the certification tracking solution they needed by:

  • Performing an extensive portal review to determine the purchased features that were part of their Cornerstone solution. This review confirmed Confluence Health had purchased Certification Management and were not utilizing this feature.
  • Designing and delivering a test case to show Confluence Health the possibilities and power of Cornerstone’s Certifications feature could provide them for easier and more effective means to track the status of certifications by certified dates.
  • Incorporating best practices to provide Confluence Health the reporting outputs needed to minimize potential future penalties resulting from employees no longer compliant due to having expired certifications.

Our consultants conducted a thorough review of Confluence Health’s Cornerstone portal and found they had access to the Certification Management feature but weren’t using it. As a result, they were missing out on the benefits of properly tracking certification completion dates.

To address this, eSkillz developed a proof of concept for one certification in a test environment. We configured the training requirements and renewal schedules, enrolling users into the appropriate learning paths based on their most recent completions to help them meet their certification needs.

eSkillz also created reports in Reporting 2.0, allowing management to easily track users who were expired, in progress, or certified. These reports were published to Dashboards for a clear, visual overview of the certification process.

Results

The expertise eSkillz shared with Confluence Health broadened their use of Cornerstone functionality to create an easier solution for tracking certification status while optimizing their Cornerstone investment.

The collaboration between eSkillz and Confluence Health resulted in significant success for the Confluence Health team. By sharing our expertise, eSkillz helped eliminate the uncertainty and hesitation around using the Certifications feature. From discovery and design to configuration and training, we supported Confluence Health every step of the way.

As a result, Confluence Health is now successfully tracking and managing three certifications in their live environment. Management is using the accompanying reports and dashboards to ensure both employees and contractors remain current with their required certifications. This shift to using the Certifications feature has brought greater efficiency, improved tracking, and significant time savings, allowing the team to focus on other critical tasks. With a more robust certification tracking solution in place, Confluence Health has dramatically reduced the risk of financial or legal consequences from lapses in certification compliance.
